»What is Laserfiche


DocuNav GeoDocs is an enterprise-class web services tool that seamlessly ties Esri ArcGIS Server v9-v10 and Laserfiche web services v7-v9 together. Web-based map users can locate critical documents and information stored in Laserfiche directly from the map in Esri, simplifying business processes. Users are not required to go back and forth between Esri and Laserfiche to locate or index documents empowering them to utilize their time efficiently. GeoDocs uses existing maps and layers as well as Laserfiche documents, so it's simple to configure and deploy. In the public sector GeoDocs is a quintessential tool for engineering, planning and zoning, public safety and law enforcement departments as well as engineering, energy, and construction firms in the private sector.

When Esri map users zoom in, zoom out, or select map locations/objects, GeoDocs will automatically push, or display, a list of related Laserfiche documents, such as CAD drawings, blueprints, building permits, or financial documents, without users even having to search. The related documents are displayed in a window pane within the Esri screen, giving the user a side-by-side view.

Additionally, the total number of documents are included in the search results to assist in mass searches, and the search results are filtered/categorized by Laserfiche template data; for instance, engineers can view documents by project or subdivision. Users can also refine search results by easily collapsing categories (ex. collapse all categories and show as-builts only). The map reacts so that the list of document results instantly changes based on areas selected. Therefore, this easy-to-use application requires little to no training for public or untrained Esri users who may search for zoning ordinances, permits, and so forth.

Even better, users can ping an area radius for documents from the map view simply by placing a ping to the location on the map then selecting the desired radius distance. GeoDocs highlights the selected area and displays document icons for all results. The results will appear on the map in the location for which it is geo-referenced. Drag the mouse over the icon and the index values will be displayed.

GeoDocs unique functionality also allows users to easily attach Laserfiche documents from within the Esri map interface by simply right clicking map items. Once a document is attached to an item in Esri, the Laserfiche template fields can be automatically populated based on the data in Esri, eliminating the need for manually indexing. GeoDocs also allows for many-to-one relationships, so one document in Laserfiche can be attached to several Esri objects.

In today's technology world, mobile access is not only a trend but a mandate. GeoDocs iPhone and iPad interfaces allow users working out in the field to take a photograph or upload a document right from their mobile device. GeoDocs can automatically geo-tag the location to the map and store the uploaded image inside Laserfiche.

Most importantly, GeoDocs utilizes Laserfiche's robust functionality. Users can leverage Laserfiche's built-in scanning, security, auditing, records retention, and workflow capabilities. GeoDocs is the link between Laserfiche and Esri.

Integration Tools

DocuNav AutoFile

DocuNav AutoFile will automatically create folders in Laserfiche, append field values collected from third-party applications, and move the documents into the proper folders following a predetermined set of filing rules. AutoFile operates by rules, which can be configured per folder and template and made conditional on any field values. AutoFile can combine multiple rules to create rule series, and multiple rule series can be created for various departments within a company. AutoFile is a server side application with connectivity to any third-party database. Eliminating, or reducing, data entry allows clerks to process more documents with fewer errors and to focus on exceptions. DocuNav AutoFile is a per database license and requires a full user license.

DocuNav AutoImport

DocuNav AutoImport reads barcodes from documents and maps these values to template fields, folders, and document names while importing into Laserfiche. Using barcode technology, AutoImport delineates batches into separate documents for faster processing and scanning. AutoImport monitors any number of network or FTP folders and imports documents into corresponding Laserfiche folders automatically at configurable frequency. To ensure every page makes it to the server, an optional report function notifies IT via email when uploads have not been completed properly. Commonly, AutoImport is used to automatically import documents from multi-function copiers or fax equipment which then starts Laserfiche Workflow or DocuNav AutoFile rules. DocuNav AutoImport is a per database license and requires a full user license when importing documents into the system.

DocuNav AutoIndex

DocuNav AutoIndex allows the user to attach indexes to a document. AutoIndex then prints out a slip sheet which automates the scanning/filing processes.

DocuNav DataLink

DocuNav DataLink provides a client-side connection between Laserfiche and numerous third-party applications. DataLink will extract data using several different methods (including Windows API and Screen Scrape OCR) from a third-party application and will populate the information into Laserfiche fields. DataLink eliminates double key entry and errors while providing automation to the process. DataLink can also be used to launch Laserfiche Workflow rules using data from third-party application. DataLink is a per database license.

DocuNav Exceptions Reporter

DocuNav Exceptions Reporter is a flexible reporting tool. Exceptions Reporter allows the user to produce reports identifying missing or expired forms and documents within records. Users may schedule the frequency of reports to run automatically through a direct connection to the database(s). Exceptions Reporter also helps in addressing compliance and audit requirements. Exceptions Reporter is a per database license.

DocuNav Navigator

DocuNav Navigator is a simple and elegant Laserfiche integration, allowing users to both scan into and retrieve documents from Laserfiche without leaving their 3rd party application. Navigator's floating toolbar resides on top of the 3rd party application. The floating toolbar enables one-click scan and retrieval functionality to corresponding documents or folders in Laserfiche without an embedded or custom integration. DocuNav Navigator is a per database license.

DocuNav OCR Plug-in

DocuNav OCR Plug-in for Workflow automatically creates folders in Laserfiche, appends field values collected from third-party applications, and moves the documents into the proper folders following a predetermined set of filing rules. DocuNav Permanent Signature Stamp

DocuNav Permanent Signature Stamp allows for a single document or a batch of documents to be stamped. For example, a judge could stamp his/her signature on a single warrant or could sign a batch of warrants at one time. The customized stamp includes the time, date, and user stamp on documents in Laserfiche. The stamp can be an overlay or permanently embedded in the image. Permanent Signature Stamp is a per station license.

DocuNav QuickLink®

DocuNav QuickLink® enables one-click retrieval integration from third-party applications to corresponding documents or folders in Laserfiche. DocuNav QuickLink is a valuable add-on for users who spend much of their time working in an existing third-party application, such as an ERP or human resources package. With a simple click on the floating toolbar, QuickLink automatically extracts data from the application. QuickLink then opens Laserfiche to retrieve all documents correlated to the search fields. Each user's most common searches can be configured in QuickLink, allowing for "Quick Search" retrieval capability without an embedded or custom integration. QuickLink resides on top of the third-party application and utilizes the Laserfiche client and/or Laserfiche Weblink/Web Access. DocuNav QuickLink is a per client license.

DocuNav Signature Pad Interface

DocuNav Signature Pad Interface captures an electronic signature from the physical signature pad and places it on the image stored in Laserfiche. Signature Pad Interface places the signature on specified X, Y coordinates on the image in Laserfiche, or an ad-hoc user can drag the signature on to the image in Lasefiche. Signature Pad Interface is a per station license.
